All petitions must be submitted by the end of business hours on Tuesday to be reviewed on Wednesday by the petitions committee. The results will be available the following Monday.

Academic Renewal

This petition is used to request the exclusion or prior substandard course work from student's grade point average, which is not reflective of their current demonstrated ability.

 

Documentation Required:

Official Transcripts from previous institutions attended.

 

Details:

In compliance with Title V Regulations, a student's petition for academic renewal of substandard academic performance will be considered under the following conditions:

 

  • At least one year has elapsed since the end of the semester of the most recent substandard grade(s) and / or the end of the semester to be alleviated; AND the student has completed at least 15 semester units of coursework with at least a 2.0 Grade Point Average (GPA) at a regionally accredited postsecondary institution.
  • All course taken during the semester / session in which the student reaches or exceeds the 15-semester unit minimum will be used in computing the GPA.
  • Units completed with "P" (Pass) grades will not count toward fulfillment of this requirement.
  • Academic renewal cannot be used to set aside coursework that has been used to meet degree, certificate, or certification requirements. 
  • Prior Academic Renewals from Grossmont-Cuyamaca Community College District and other institutions will be considered when determining eligibility.
  • Official transcripts from any institution that the student has attended must be file before petition submission.

California Promise Grant Petition (formerly known as BOGW)

This form is to petition the loss of your California Promise Grant (formerly BOG Fee Waiver)

 

Documentation Required:

Typed narrative and attach supporting documentation. Please see below for more details.

 

Details:
  • Complete the student information part of this appeal form and a typed narrative of your situation. (If you are a former Foster Youth under the age of 25, you are exempted from this process. Please contact the Admissions and Records Office.)
  • Bring this form with you to the Admissions and Records Office with your typed narrative and supporting documentation. If you are a CalWorks, EOPS, DSPS, or Veteran student you must meet with the appropriate program Counselor or program Manager and provide written verification of enrollment in that program utilizing the Program Verification Document for Loss of California Promise Grant & Priority Registration.
  • If you are requesting an appeal for Academic/Progress probation due to Extenuating Circumstances such as verified illness, accident or circumstances beyond your control, or documented changes in your economic situation, please have your supporting documentation ready. (Supporting documentation can include doctor’s notes, accident report, loss of job, etc.)
  • Submit the completed petition form to Admissions and Records with all of the supporting documentation that is indicated on the form based on your petition reason (petition form, typed narrative, comprehensive education plan, and supporting documentation). 

Any missing information will result in your Enrollment Priority/California Promise Grant Appeal being rejected by the Petition Committee.

You may have been dropped for not providing your COVID-19 vaccination on Self-Service or not taking the on-campus COVID-19 testing.

Petition of Loss of Enrollment Priority Status

 

Students may petition the loss of their enrollment priority based on one of the following criteria:

 

  • Student who have experienced extenuating circumstances (verified cases of accident, illnesses or other circumstances beyond the student's control that affected their academic performance in the previous semester.)

  • Students who have made significant academic improvement where they meet the minimum grade point average and/or progress standard to be removed from academic or progress probation.

  • Students who have exceeded 90 units of degree-applicable coursework at GCCCD and enrolled in a high unit major

  • Students with disabilities who applied for, but did not receive reasonable accommodations in a timely manner.

  • Students who have other specific situations that warrant considerations (e.g. Last term in GCCCD and needs a specific course to graduate or transfer.)

GCCCD COVID-19 Late Withdrawal Form

Petition for an Excused Withdrawal with Refund due to COVID-19 

 

Only applicable for Spring 2020, Summer 2020, Fall 2020 semesters

This petition is used for Late Withdrawals, Course Repeat, Course Repetition, Grossmont College Promise Grant (AB 19 / AB 2), and other admissions or records request.

Late Withdrawal
 

To withdraw from a course after the drop deadline.

Details: 

 

Petitions for a late withdrawal of a course will be considered if students can document an unanticipated personal or family hardship that affected their performance in a course. Late Withdrawals are only allowed under extenuating circumstances with proper documentation. It is the student’s responsibility to attach all relevant documentation to the petition. 

 

  • A medical withdrawal includes a “W” and does not include a refund and can only be granted for all courses in a particular session at Grossmont College. Documentation must address how the medical issue impacts your studies or enrollment
  • Military withdrawals shall be authorized when a student who is a member of an active or reserve United States military service receives orders compelling a withdrawal from courses. Military withdrawals shall not be counted in progress alert and dismissal calculations. No refunds will be given for military withdrawals

Requesting a Late Withdrawal with Refund and No “W,” is only allowed under extenuating circumstances with proper documentation. 

 

No Show 

To withdrawal from a never attended course.

A verification or letter of non-attendance from the instructor or Department Chair. 

 

Details: 

Student’s petition should include a detailed statement describing hardship they experienced that prevented them from participating and their inability to drop the course before the drop deadline. Also, the petition must include a verification or letter of non-attendance from the instructor or Department Chair. 

 

Any petition submitted without proper documentation from the instructor or the Department Chair will be considered incomplete. 

 

Course Repeat 

To repeat a course in which a grade of "C" or higher was earned or a course in which three substandard enrollments (D, F, NP, W) were earned. Student must demonstrate the necessity to retake a course in excess of the allowable limit of repeats. 

 

Additional Documentation Required: 

Relevant documentation supporting the extenuating circumstance in which a repeat is necessary. 

 

Details: 

Request for additional repeats are considered on a case-by-case basis. Title V mandates that repeats may be granted under specific guidelines. Students must submit their petition with appropriate documentation for their request submitting a petition with requested documentation does not guarantee approval.

  • Title 5 – 55040(b)(2), 55042; Alleviation of substandard grades or withdrawals (D, F, NC, NP, W). 4th and final attempt. 
  • Title 5 – 55045; Previous grade earned (passing or substandard) was a result of extenuating circumstances 
  • Title 5 – 55043; Regency requirement with significant lapse of time 
  • Title 5 – 55040(c)(7), 56029; Disability Resources Department (DRD) or Adapted Physical Education (APE) courses only 
  • Title 5 – 55041; Legally mandated course 
  • Title 5 –55040(b)(9); Significant Change in industry or licensure 
  • Title 5 – 55041; Repeatable Courses (Athletic, Music Performance or Theatre Arts) 
  • (Title 5 – 55040(b)(4), 55044; Variable Unit Courses
Grossmont College Promise Grant AB19/AB2 

To petition eligibility of the Grossmont College Promise Grant known as AB19 and AB2.

Attach proof of missing documentation. 

 

Details: 

In addition to completing this petition, students must attach proof of missing documentation: 

  • FAFSA 
  • Pledge 
  • Orientation 
  • Education Plan 

If a student lost eligibility due to not meeting the 12 unit or minimum 2.0 GPA requirement, please provide a detailed statement explaining the extenuating circumstances endured that led to ineligibility.  

 

Other 

This form is used in the case in which a student has a special request that is not covered in other petitions.

Any relevant documentation that supports the students request must be attached. 

 

Details: 

The petition must include an outlined specific request in which any necessary evidence is attached. The petitions committee will review each request and decide if any action can be taken.  

 

General Petition

International Student Petition

Petition used for international students to request a reduction in course load, an extension for the I-20, or other matters. 

 

Additional Documentation Required: 

Any relevant documentation that supports the students request must be attached. 

 

Details: 

International students may request a reduction in course load due to difficulties, medical reasons, or last semester.

Late Add Due to Extenuating Circumstances Petition

To add a course after the add deadline has passed. 

 

Additional Documentation Required: 

An instructor statement indicating their support to add the student and first day attendance. If applicable documentation of the student’s hardship in adding courses. 

 

Details:  

The instructor's approval is always required to late add a course, a student must obtain an add authorization from the instructor prior to petition submission. Instructors can authorize students via Self-Service.

This form is used by students who, after having been academically disqualified from the college and wish to re-enroll with Grossmont

Details: 

In addition to completing this form, students are encouraged to attend a Back on Track Workshop or meet with a counselor to create an educational plan. In the statement students must describe the circumstances surrounding the dismissal, and the plan for their educational improvement.
