2009 POST-ACCREDITATION REPORT

EVIDENCE ENUMERATION PROCEDURES 
For 
WRITING TEAM MEMBERS

Writing team members will gather supporting evidence for their text as they create it. Supporting evidence may be cited from the following types of formats for sources:

B = bound material

W = web URL

D = word documents, unbound

V = video

Om = other media

While writing team members are responsible for gathering the evidence, evidence enumeration will be done centrally by Barb Guiette and Maria Baeza, Creative Services specialists. They will assign alphanumeric codes to each piece of evidence and keep track of it to ensure that any single piece of evidence has only one code whenever it is referred to in the entire report.

The procedure to be used by writing team members who gather evidence and need a code assigned, is as follows:

  1. A designated writing team member for each reporting group (1,5,6, or 7) will e-mail Barb Guiette and Maria Baeza asking for a code assignment, using the official printed name of the bound material, web URL, document, video, or other media. The format should also be specified, using the above source format list.

  1. Barb or Maria will reply to the e-mail request with the appropriate alphanumeric code assignment for each piece of evidence. (If the code was previously assigned, that will be sent, instead of a new one.) Writing team members will use the assigned evidence code in the text, no matter what part of the report they are drafting.

The tracking spreadsheets of all assigned evidence codes and related titles will be supplied to Bonnie Price, editor, for addition to the end of the report as the bibliographic references for the entire document. When available, hard copies of the evidence collected for each reporting group will be supplied to the editor, as stated in the spring work schedule.
